Payroll Specialist

Job Summary:

The Payroll Specialist oversees and implements the payroll functions of the organization, ensuring pay is processed on time, accurately and in compliance with company policies and government regulations.

 

Responsibilities:

  • Prepares, reviews, and executes all necessary multi-state payroll processing functions to ensure a timely and accurate payroll.
  • Gathers payroll data from various sources and enters/uploads to the Payroll Database.
  • Prepares and enters Bonus and Commission calculations
  • Maintains Payroll/HRIS database to ensure up-to-date salary, benefits, and personal information, including but not limited to; employees’ hourly rates, salaries, commissions, bonuses or other compensation, time worked, paid leave and holidays, reimbursements, taxes, garnishments, deductions, withholdings, and other information as required.
  • Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.
  • Ensures payment of multi-state and local payroll taxes and filing; resolves payroll tax filing issues.
  • Maintains attendance records for all employees, as well as tracking all leaves, including but not limited to, FMLA, ADA, STD and LTD.
  • Completes Unemployment questionnaires and inquiries
  • Completes Verification of Employment inquiries
  • Participates in the employee separation process, including but not limited to; calculates and prepares any monies due and updates termination information into the Payroll Database.
  • Complies with all Company policies, procedures, performance and behavior standards and expectations, as well as state and federal regulations.
  •  Assist with reporting including but not limited to, workers’ comp, 401k , PPP data, etc.
  • Other duties as assigned

 

Qualifications and Skills:

  • Extensive knowledge of payroll functions including preparation of time sheets, balancing, internal control, and multi-state payroll taxes.
  • Excellent organization skills and attention to detail
  •  Excellent data entry skills
  • Strong analytical, math and problem-solving skills
  • Proficient with Microsoft Office; Strong Excel skills
  • Proficient with Payroll & HRIS software
  • Excellent Communication Skills; both verbal and written
  • Ability to work with all levels of organization
  • Ability to prioritize work; excellent multi-tasking skills

 

Education and Experience:

  • Bachelor’s degree; preferably in Accounting, Math or related field
  • Three to five years of payroll processing experience

 

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer
  • Ability to lift 15lbs at times
